An overview on how to build a schedule

There are two ways to quickly build out your full-time schedule. This article will take you through each method:

Note Before Creating Shifts: The shifts you create will only be posted based on the publish date you set. If they are created before that date they will be set as drafts and will need to be published by changing the date. Read this help article for all the information on the Draft and Publish Feature

Add Shifts

The first option is to build your schedule with the add shift tool. You will use this tool to create multiple shifts at a time for each day of your schedule.

Here is how it works:

  1. Go to "Weekly by shift time" view in your schedule.

  2. There are two ways to build your schedule by day, either click the "Add Shift" button in the top right-hand corner of your screen.

    • Or click on a plus sign, located in each day's column.

  3. Once you have selected add a shift you will see this pop-up

  4. Fill out the Add Shift pop-up window
    • Date: When you click the plus sign, the date will be auto-generated with the day you pick. If not, select the date you want to create shifts for.
    • Shift Time: You have pre-loaded shift times to select from (DAY, EVE, NOC, etc.)
    • Position: Select the position(s) you want to create shifts for
    • Number of shifts: Create up to 9 shifts on the same day and position
    • Assigned to: Choose Open shift if you are creating more than one shift, you can assign an employee if you are creating a single shift.
    • Notes: Add a note to the shift
    • Color: You can organize your shifts by color
    • Labels: (located under "Advanced") If you have created labels, you can select the label you want to add to the shift. Learn how to create labels here.
  5. Once your shift is filled out, click "Save and add another" to create the shift(s), the settings you chose will stay the same.

    • Tip: You can continuously change the date and the number of shifts, to fill out the entire week with that shift type. Then repeat for each shift type and time.
  6. Once your week is filled out and you could like to use it for a week in the future, click the toolbox icon and click "Copy week". Learn more about copy week here.

  7. The Copy week window will appear. It will tell you what week you are copying and ask you which week you would like to copy it into. You can choose up to 4 weeks in advance. 
    • Note: Any agency-filled shifts will be copied over as Open shifts and will be auto-shared as configured by the labor pool.

  8. Now that you have built your schedule and know how to copy your weeks. You can easily copy weeks and adjust the shifts and assignments from there.

Copy and Paste

The second option is to use the copy/paste features to get a bulk of the schedule done at once.

Here's how it works:

  1. Go to "Weekly by employee" view in your schedule.

  2. Hover over the desired shift you wish to paste into multiple days and click "Copy".

  3. Next, select each day or employee you wish the shift to be pasted into.

    • You can click the arrow in the teal bar at the top to continue pasting into future week

  4. Once the shifts you want to paste are checked, click "Paste" on the right side of the teal bar.
    • You will also see a confirmation indicating which shift you are copying and to how many cell

  5. You can use this feature to build out your week based on each shift. You can then use the copy week and bulk edit feature to adjust each week as needed. Here is the bulk edit help article
