Add a New Employee

Here is how to add your permanent employees to Kevala so they can view, apply for, and pick up your open shifts. You can add CNAs, Medtechs, RNs, Caregivers, LPNs, and any other positions at your facility. Make sure to enable your employees to receive open shifts or you will get a warning message. Click here for more information.

Please note: your organization may have an integration to import new employees, please check with your organization if you are unsure.

How to add an employee

  1. Go to the "People" tab and click "+ Add an employee"

  2. Complete the required fields:
    • First name
    • Last name
    • Email - required to invite employee to Kevala
    • Phone number - optional but recommended for notifications
    • Start date
    • Employment type and weekly target hours (defaults to Full-time and 40 hours)
    • Location(s) - select one or more. These are the locations and departments where the employee can be scheduled and pick up shifts
    • Position(s) - select one or more. These are the positions the employee can be scheduled and pick up shifts for
  3. Click "Save" to add the employee

Inviting employees to Kevala

By inviting your employees to Kevala this will allow them to view their schedule, team schedule if enabled, pick up open shifts, submit availability and time off if enabled, and view credentials.

You can invite employees in a few ways, but your employee needs to have an email address in order to receive the invitation.

  1. Option 1: When creating a new employee, check the box for "Invite to Kevala"
  2. Option 2: From the "People" tab, click the 3-dot menu and click "Send invite"

  3. Option 3: Go to the employee's profile page, click "Manage employee", then "Send invite"

Employee Kevala accounts

Once you send out an invite to your staff members, they must finalize their account by creating a password. After, they will see their schedule and any open shifts you post. They will also start receiving text and email notifications when open shifts are posted. They can change their notification settings if needed.
