What is this?
Residex has updated the terms governing agency staffing on our platform. All organizations using agency staffing features must review and accept the new VMS Platform Terms of Service to continue using these features.
You'll see an in-app notification prompting you to review and accept the updated terms. This applies to both client organizations and staffing agencies.
Why am I seeing this?
If you have access to agency staffing features in Residex, you'll be prompted to review and accept the latest version of the Terms of Service. This update ensures all parties are aligned on the terms of using agency staffing through the platform.
Each version of the Terms of Service requires one acceptance from each organization facility or staffing agency. If you have access to more than one location at your organization, you will see a popup for each when you switch between locations.
Who can see this?
All team members with the Manager or Administrator role can see the Terms of Service popup.
Who needs to accept?
Acceptance is required at the entity level — meaning each organization location and each agency must accept separately. The dialog will display the name of the entity you're accepting on behalf of.
If you are a user with access to multiple locations, you'll need to accept for each one individually.
Universities and single-entity organizations: If your organization operates as a single entity (e.g., a university), acceptance covers the entire organization.
Staffing agencies will only see one popup.
What if I don't have the authority to sign?
If you feel you don’t have the authority to accept these terms on behalf of your organization, please raise this with your administrator or leadership team.
We recommend sharing this article with your leadership so they're aware of the upcoming deadline.
The person who needs to sign does not have a Residex Workforce login. How do I invite them to the system?
You will need to add them as a team member. See this article for reference: https://go.residex.ai/scheduling-admin-access

What's the deadline?
The updated Terms of Service will be available for review starting Wednesday, April 1st, 2026. The deadline to accept is 12:01am on Friday, May 1st, 2026.
What happens if my organization doesn't accept by the deadline?
If the Terms of Service haven't been accepted for your entity by 12:01am on May 1st:

For operator locations: Schedulers will be unable to approve agency employees for shifts.

For staffing agencies: Schedulers will be unable to apply employees for shifts.

For employees: Employees that have access will be unable to apply themselves for shifts.
All other platform features will continue to work as normal. Only the actions to apply or approve an employee for a shift are affected.
Once the terms are accepted, access to these features is restored immediately.

How do I accept?
1. Log in to Residex.
2. You'll see a pop-up dialog prompting you to review the updated Terms of Service.

3. Read through the terms — you can scroll through the full text.
4. Check the acceptance checkbox, enter your full name and job title, and select to accept.
That's it — you're all set for that entity!
If you have access to more than one entity or location, please switch or log in to those to make sure the agreements are signed for each.
If the popup was dismissed, you can re-show it by clicking your user dropdown in the top-right corner of the screen, and select the menu option for the terms update.
