6 Week Schedule View

Here's more detailed information on the 6 week schedule view.

Start by going to the "Schedule" tab and click the drop down menu and click on "6 weeks by Employee"

Overview of the 6 week view

This view shows 6 full weeks (Sun-Sat, Mon-Sun, etc). The scheduled employees are on the left and the days on the top. This view is helpful for viewing upcoming time off, finding upcoming open or pending shifts, and managing rotations (4-on-2-off, every other weekend, etc).

A few things to note:

  • This view is not available on mobile.
  • Hover on each shift to see the full shift card 
  • The shifts are grouped, so morning CNAs show up first, then morning RNs, then afternoon CNAs, etc.
  • Only employees who have shifts in those 6 weeks will appear in the list.
  • Unfilled shifts (open and pending) are at the top.
  • Agency and float staff will show up in each group below your internal employees.
  • There are no bulk actions, filtering, or copying of shifts available from this view.

Navigating between the 6 week view and other views

Navigating across views works like this:

  • Either weekly view to 6 week view - week 1 will be the week you were previously on
  • 6 week view to either weekly view - week 1 from the 6 week view will be the new week
  • Select a date using the calendar on the 6 week view - week 1 will be the week you selected (it will always start on the first day of the week based on schedule settings
  • Click on a day at the top in the 6 week view - this will bring you to the weekly by employee view during the week of the day you selected

Shift groupings

This view is grouped in the following order:

  1. Shift period (morning, daytime, night) (Note - these are not yet customizable)
  2. Position (alphabetical)
  3. Labor pool (internal employees, then float pool, then agency)

So if you have 3 8-hour shifts and you staff CNAs and RNs, the order will be like this:

  • Morning
    • CNA - Internal, then float, then agency
    • RN - Internal, then float, then agency
  • Daytime
    • CNA - Internal, then float, then agency
    • RN - Internal, then float, then agency
  • Night
    • CNA - Internal, then float, then agency
    • RN - Internal, then float, then agency

Unfilled shifts section

The top "unfilled shifts" section shows all open and pending shifts for the displayed 6 weeks. 

The shifts are grouped together - one number for open, one number for pending (with a badge indicating pending). Hover on the number to see the list of shifts.

List of employees

Only employees who are scheduled at least 1 shift in the displayed 6 weeks will show up on the left.

Note - Some employees may show up in the list multiple times. That's ok! That means that they are working different shift periods or multiple positions during those 6 weeks. For example, a Director may fill in for caregiver shift and show up in the "DON" and the "Caregiver" sections. Someone who usually works mornings may work a night shift and therefore show up in the "Morning" and the "Night" sections.

Agency and float pool employees

Agency and float employees will be grouped within each section below internal employees.

  • The agency and float sections show the count of employees next to the label
  • Each day shows the total number of agency/float shifts in that section (morning CNA, afternoon CNA, etc)
  • Expand the section to see the list of employees and all their shifts
  • Note - the number of shifts on a day may not match the number shown above. This happens if they work across groupings, such as working a double (example below)

Overtime

Overtime is indicated with a red background and a red "OT" on the day that the employee has overtime.

Time off

You can see both approved time off and requested time off in this view within the employee's line

  • Approved time off - indicated by a gray "TO"
  • Requested time off - indicated by a red "RO"
  • Click on any of them to open up the time off
